The environment

Begin with your Workspace tools and information.

Google offers Gemini capabilities across Workspace tools such as Gmail, Docs, Sheets, and Meet, as well as the Gemini app. Developers can use the Gemini API for custom applications. Availability depends on the product, account, plan, and administrator settings.

We start with the tools your employees can access and the information they are permitted to use. A Workspace feature and an API-based application need separate scoping for permissions, usage, and support.

Practice tasks such as preparing an email draft, organizing information in a document, or checking an analysis. Use your approved account and examples. Teach people to inspect sources, verify numbers, and recognize when a result needs correction.

Workspace access and AI-use guidance

Work with your Google Workspace administrator to review who can use the agreed AI tools, which information is shared, and what controls are available. Connect those settings to employee guidance, review expectations, and a clear support route.

Connected workflows and applications

Map a departmental process and identify the steps that could benefit from assistance or automation. Evaluate the required Google tools, integrations, and API access before building a pilot. Test the output and the failure paths with a responsible owner.

Prepare a department update from approved material.

A manager needs an update using agreed notes and a current tracking sheet. The team can practice preparing a draft in its Workspace environment and checking it before distribution.

Keep a person responsible for the work.

Agree on approved information, access, review, and disclosure before the pilot begins. For an agent that can take actions, define what needs approval, where it must stop, and who resolves exceptions. Configure those limits in the tools and workflow.
